Conference Room Audio/Video

These are basic instructions for using the conferencing equipment in the following AI conference rooms:

  • 1st Floor Conference Room
  • 3rd Floor Welcome Room 
  • 3rd Floor Boardroom 
  • 3rd Floor Community Room

 

We have added a dedicated PC, Webcam, and Jabra Conference Phone to each of the conference rooms. The growing use of Teams and Zoom has raised the need for a system with higher quality audio/video and less setup.

 

To set up to use the system the first time you should arrive 20-30 minutes early. After the initial use the setup will be much quicker because your setup will be remembered in your user profile. Of course, if you need help please don't hesitate to reach out to Tech!

 

To use the new system for the first time follow these instructions:

  • Turn on the TV with the remote and make sure the correct input is selected.
    • 3rd Floor Community Room (use the remote) -  “PC”
    • 3rd Floor Boardroom - “HDMI 1”
    • 3rd Floor Welcome Room  - “HDMI 2”
    • 1st Floor Conference Room – “HDMI 2”
  • Press the power button on the PC to wake it up.
  • When you get to the login screen, log in with your own credentials (it will take 2-3 minutes to load your profile for the first time and won't take as long the next time you log in.)
  • Set up the speaker:
    • On the Conference Phone tap the power button then push and hold the Bluetooth button for 2 seconds to start pairing mode.

 

  • Search for Bluetooth settings on the PC then "Add a Bluetooth or other device"
  • Select the Jabra Speak 750. 
    • If the Jabra has already been added under your profile it will say “Paired”. Click “Connect” to connect it.

 

  • Log in to your conferencing software. You can use the zoom.us or teams.microsoft.com websites to start a meeting.
  • Set up the devices
    • For speaker and microphone select "Headset Jabra Speak 750"
    • For Video select the “Logitech C920” camera
